This Privacy Policy explains what personal data Proxmio collects, why we collect it, who we share it with, and the rights you have over your data. We keep it short, plain and honest — because that is how we built the product.
1. Who we are
Proxmio is a proximity-based professional networking application. The app is owned and operated by JISECO S.R.L., a company registered in Romania, which is the data controller responsible for your personal data under the EU General Data Protection Regulation (GDPR).

3. Data we collect
We only collect what the app genuinely needs to work:
- Account data — your email address and password. We never see or store your password; it is handled by Firebase Authentication.
- Profile data — name, nickname, country and professional domains. Optionally: phone number, profile photo, short bio, headline, specialisations and a description of your projects.
- Professional objectives — the “needs” and “offers” you post, including their category, tags, free-text description, budget and urgency.
- Location data — your GPS coordinates, used to detect nearby professionals. See section 8 for exactly how these are stored and displayed.
- Messages — the content of in-app chats with your connections.
- Ratings, reports and feedback — ratings you give other users, abuse reports you submit, and any feedback you send us.
- Job data — for business accounts, the job posts you publish; for individual accounts, the applications you submit and the job preferences you set.
- Push notification token — a device identifier issued by Firebase Cloud Messaging, so we can deliver notifications to your device. It contains no personal information and is removed when you delete your account.
- Usage events — a limited internal log of key actions in the app (for example, that a match was detected or a connection unlocked), used to understand whether the product works. This log is stored in our own database and is not shared with any third-party analytics provider.
What is required and what is not. An email address and a password are required to create an account — without them there is no account. Your name, nickname, country and at least one professional domain are required for matching to work at all. Everything else — phone number, photo, bio, headline, specialisations, projects — is optional, and leaving it out simply means other people see less about you. Access to your location is required for the core feature: if you decline it, you can still use the app, but you will not be matched with anyone nearby.
Payments. Paid features are not active at this time. When we introduce them, payments will be processed by the Apple App Store or Google Play under their own terms. We will never see or store your card details, and we will update this policy before any payment feature goes live.
4. Why we use your data
- To create and manage your account.
- To detect professionals near you and calculate match scores.
- To reveal contact details when both people have expressed mutual interest.
- To enable messaging between connected users.
- To send you notifications about interest received, matches, and job activity.
- To operate the jobs section — publishing job posts and handling applications.
- To keep the platform safe — handling reports, blocks and content moderation.
- To understand whether the product works and to fix problems.
5. How matching works
Proxmio decides automatically what to show you, so you should know how that decision is made.
- The app compares the “needs” and “offers” you have posted with those of people currently near you, and calculates a score based on how far the professional domain, sub-domain and tags overlap.
- Only pairs above a minimum score are shown to you. Nothing is shown at random, and no one is ranked higher in exchange for payment.
- This is automated processing, but it does not produce legal or similarly significant effects for you: it determines what appears in your Report — not whether you may access a service, obtain credit, or be employed.
- No decision about you is taken on this basis. Whether to express interest in someone is entirely your own choice, and so is theirs.
- You can change what you are matched on at any time by editing your objectives, and you can stop being matched at all by turning proximity off in Settings.
6. Legal basis for processing (GDPR)
- Performance of a contract (Art. 6(1)(b)) — processing necessary to provide the service you signed up for: account management, matching, messaging and jobs.
- Consent (Art. 6(1)(a)) — location tracking and push notifications, which you can enable or disable at any time in the app settings or in your device settings.
- Legitimate interest (Art. 6(1)(f)) — keeping the platform secure, preventing abuse, and understanding how the product is used.
- Legal obligation (Art. 6(1)(c)) — retaining limited records where the law requires it.
7. Third parties we share data with
We do not sell your data and we do not share it for advertising. We share it only with the service providers that make the app work, each acting as a processor under their own privacy terms:
| Provider | Purpose | Data involved |
|---|---|---|
| Google (Firebase) | Authentication, database, push notifications and server functions. Our database is hosted in the European Union. | Account, profile, objectives, messages, location, usage events |
| Netlify | Hosting this website and the web version of the app. | Technical connection data (e.g. IP address) when you visit |
| OpenStreetMap (Nominatim) | Converting coordinates into a readable place name for the map. | Coordinates only, with no identifier attached |
| CARTO | Supplying the map background images. | Technical connection data when the map is displayed |
| Zoho (EU) | Our contact mailbox. Data stays in the European Union. | Only what you choose to write to us by email |
International transfers. Google and Netlify are companies established in the United States. Although our database is hosted in the European Union, some processing may take place outside the EU. These transfers are covered by the European Commission's Standard Contractual Clauses and the EU–US Data Privacy Framework. You may request a copy of the relevant safeguards at any time.
We do not use any AI or machine-learning provider to analyse your data.
8. Location data
Location is the heart of Proxmio, so we are precise about how it works:
- When we collect it. Only while the app is open and proximity detection is enabled. When you minimise or close the app, tracking stops. You can disable it at any time in Settings.
- What we store. Your current coordinates, so that other users nearby can be matched with you. Your coordinates are overwritten each time they update — we do not keep a continuous history of your movements.
- What others see. Other users never see your coordinates. Before payment they see only that a match exists, together with the professional reason for it.
- Match history. When two people express mutual interest, the place where this happened is recorded so each of them can see it on their own map. This record is permanent and is readable only by those two people. On the map, every point is deliberately shifted by roughly 100 m, so no exact position is ever displayed.
- Contact details are revealed only when both people have expressed interest.
9. Storage on your device
Proxmio does not use tracking or advertising cookies. It does store some information locally on your device, because the app cannot work without it:
- Your session — so that you stay signed in.
- Your preferences — language, theme and text size.
- Your pending matches and unlocked connections — so the app stays responsive and keeps working during a brief loss of connection. Unlocked connections contain contact details, and are therefore encrypted on the device.
- Your map history — the places where your mutual matches occurred.
- Your blocked list.
All of the above is strictly necessary for the service you asked for, which is why we do not ask for separate consent and show no cookie banner. It stays on your device, it is not read by anyone else, and it is removed when you delete your account or clear the app’s data.
10. How long we keep your data
- Account, profile and objectives — for as long as your account exists.
- Usage events — automatically deleted after 90 days.
- Notifications — automatically deleted after 60 days.
- Abuse reports — retained after account deletion, so that we can keep the platform safe and comply with our legal obligations.
- Messages — messages are not deleted when an account is closed, because they are also part of the other participant's conversation. Instead, the identity of the person who left is hidden, and their messages appear as coming from a deleted user.
- Match history — the record of where a mutual match occurred is kept, as it also belongs to the other person involved. It contains no name or contact detail.
When you delete your account, we remove your profile, objectives, interests, connections, ratings, notifications, feedback, job posts and job applications. The exceptions above are limited, documented, and contain no contact details.
11. Your rights under the GDPR
You have the right to:
- Access the personal data we hold about you.
- Rectify inaccurate or incomplete data — you can edit your profile directly in the app at any time.
- Erase your data (“right to be forgotten”) — you can delete your account directly in the app, in Settings.
- Restrict or object to certain processing.
- Data portability — receive your data in a structured, machine-readable format. This is currently available on request by email; we are working on making it available directly in the app.
- Withdraw consent at any time, for example by disabling proximity tracking or notifications.
- Lodge a complaint with a supervisory authority. In Romania this is the National Supervisory Authority for Personal Data Processing (ANSPDCP), dataprotection.ro.
To exercise any of these rights, email contact@proxmio.com. We will respond within one month.
12. Security
We protect your data with encrypted connections (HTTPS), authentication managed by Firebase, and server-side access rules that determine who may read each piece of data. Sensitive data stored on your device is encrypted. Contact details are never shown to another user before mutual interest has been established. No system is perfectly secure, but we work continuously to keep your data safe.
13. Age requirement
Proxmio is intended for users aged 16 and over, in line with GDPR Article 8 and Romanian law. We do not knowingly collect data from anyone under 16. If you believe a minor has created an account, contact us and we will remove it.
14. Changes to this policy
We may update this policy as the app evolves. When we make material changes we will update the “Last updated” date above and, where appropriate, notify you in the app. Continued use after an update means you accept the revised policy.
